Part-Time Bilingual Assistant / Project Coordinator
Kominka Renovation, Regenerative Living & SATO_LAB – The MILL (Fujino / Tokyo)
Overview
The MILL is a long-term kominka renovation and regenerative living project based in Fujino, Kanagawa. Alongside the physical site, the project runs SATO_LAB, a series of workshops and learning experiences exploring regenerative living, craft, and systems thinking.
We are seeking a part-time bilingual assistant / project coordinator to support practical coordination across the kominka build, farm, workshops, grants, and basic communications.
This is a hands-on support role, suited to someone organised, reliable, and comfortable working across people, administration, and on-site activity.
Key Responsibilities
1. Kominka Renovation Coordination (Primary)
- Support coordination with builders, carpenters, and contractors
- Track schedules, next steps, and simple timelines
- Follow up with contractors and stakeholders (primarily in Japanese)
- Document decisions and share clear updates (JP / EN)
- Flag delays, missing information, or blockers early
This role supports coordination and follow-through. It does not require technical construction expertise or senior project ownership.
2. Government, Grants & Utilities Support
- Support communication with local government offices, grant bodies, and utilities
- Help track deadlines, requested documents, and reporting requirements
- Assist with preparing updates, progress reports, and basic documentation
- Help coordinate applications or follow-ups (guidance provided)
This role supports administration and coordination; final responsibility remains with project leadership.
3. Farm & Site Support
- Assist with light farm work and seasonal site tasks
- Help prepare and maintain the site for workshops and visitors
- Support general organisation of tools, materials, and spaces
4. Workshops & SATO_LAB Support
- Help organise and prepare for workshops and events
- Support on the day (setup, door, participant flow, clean-up)
- Assist coordination between instructors, participants, and the team
- Help document workshops for future use
5. Online Learning & Crowdfunding Support
- Assist with uploading and organising content on the online learning platform
- Help manage basic updates (event pages, descriptions, schedules)
- Support administration and communication related to crowdfunding campaigns
- Help track supporter communications and documentation
No technical platform development required.
6. Basic Promotion & Documentation
- Capture simple photos or videos during workshops, farm days, or site work
- Support basic social media posts or progress updates
- Help maintain a clear record of activities and outcomes
Required Skills & Experience
- Bilingual Japanese / English (spoken and written)
- Clear communication and follow-up skills
- Comfortable speaking with contractors, officials, and participants
- Organised, dependable, and detail-aware
- Able to work independently once tasks are defined
- Comfortable with evolving projects and mixed physical / admin work
- Interest in regeneration, traditional buildings, farming, learning, or sustainability
Working Arrangement
- Part-time role with flexible but defined hours
- Mix of on-site work (Fujino / occasional Tokyo) and remote coordination
- Initially structured as a trial period, with scope and hours reviewed after the first phase
- Paid role, starting on an hourly basis
Important Note
This role is focused on coordination and support, not senior project ownership, decision-making authority, or financial responsibility.
Reliability, clarity, and follow-through are valued more than titles or hierarchy.
Who This Role Suits
- Someone who enjoys supporting complex, real-world projects
- A practical organiser rather than a lead
- Comfortable working across building, administration, farming, and learning environments
- Interested in long-term regenerative projects and community-based work
